PRIVACY POLICY

1. OVERVIEW

EkaTools.com ("EkaTools", "we", "us") is an engineering calculator platform for process and instrumentation engineers. This policy explains what personal data we collect, why we collect it, and how we protect it.

Our core principle: we collect the minimum data necessary to operate the service and never sell it to anyone.

2. DATA WE COLLECT AND WHY

2.1 Account data (if you create an account)

  • ✅ Email address — to identify your account and send transactional emails (e.g. password reset)
  • ✅ Name (if provided via Google/Microsoft sign-in) — displayed in your account
  • ✅ Account creation date — for internal record-keeping
  • ✅ Subscription status — to determine which tools you can access

2.2 Saved calculations (optional, requires account)

  • ✅ Calculator inputs and results you choose to save — stored as JSON in our database
  • ✅ Tag numbers and project names you assign — stored with your calculations
  • ✅ You can delete saved calculations at any time from your account

2.3 Files and documents you upload

  • ✅ Files (e.g. P&ID drawings) are processed in memory and never saved to our servers
  • ✅ Files are deleted immediately after AI processing completes
  • ⚠️ AI processing uses Anthropic's Claude API — subject to Anthropic's Privacy Policy

2.4 PDF datasheets

  • ✅ All PDF generation happens entirely in your browser using client-side JavaScript
  • ✅ PDFs are downloaded directly to your device — no PDF content is ever sent to our servers
  • ✅ This means your engineering data stays completely under your control
3. CALCULATOR TOOLS (NO ACCOUNT REQUIRED)

All engineering calculators (Orifice Plate, Venturi Tube, Pipe Flow, Control Valve Cv, Pump Power, Pipe Volume, Vessel Volume, and others) can be used without creating an account.

When used without an account, your calculation inputs and results are never stored anywhere — they exist only in your browser session and are gone when you close the tab. This makes EkaTools suitable for use with confidential process data at organisations with strict data policies.

4. GOOGLE AND MICROSOFT SIGN-IN

We offer sign-in via Google and Microsoft OAuth. When you use these:

We receive your email address and basic profile information (name, profile picture) from the provider. We do not receive your Google or Microsoft password. We store only your email address and a reference to your authentication provider. Your sign-in session is managed securely by Supabase (our authentication provider).

Google sign-in is subject to Google's Privacy Policy. Microsoft sign-in is subject to Microsoft's Privacy Policy.

5. DATA STORAGE AND SECURITY

Account data and saved calculations are stored in a Supabase PostgreSQL database hosted on AWS (Asia-Pacific region). All data is encrypted at rest and in transit (TLS). Access is protected by Row Level Security — each user can only access their own data.

Calculation engines run on Vercel serverless infrastructure. API endpoints are protected by API key authentication and CORS restrictions to ekatools.com only.

We do not store payment card details. Subscription payments are processed by Lemon Squeezy, who acts as Merchant of Record and handles all payment data under their own PCI-compliant systems.

6. ANALYTICS

We use Google Analytics 4 to understand how tools are used — pages visited, features used, and general location (country level). IP addresses are anonymised. No personally identifiable engineering data is included in analytics.

You can opt out using the Google Analytics opt-out browser add-on.

7. COOKIES

We use the following cookies:

Essential: Authentication session tokens (required for account sign-in to work).
Analytics: Google Analytics cookies (_ga, _gid) for usage statistics.

We do not use advertising cookies or third-party tracking cookies. Calculator inputs stored in localStorage stay on your device only and are not transmitted anywhere.

8. DATA RETENTION

Account data is retained for as long as your account is active. If you delete your account, all associated data (profile, saved calculations, subscription records) is permanently deleted within 30 days.

If you do not create an account, we retain no personal data about you beyond anonymised analytics.

9. YOUR RIGHTS

You have the right to access, correct, or delete your personal data at any time. To exercise these rights, contact us at hello@ekatools.com. We will respond within 30 days.

If you are in the European Economic Area, you have additional rights under GDPR including the right to data portability and the right to lodge a complaint with a supervisory authority.

10. CHANGES TO THIS POLICY

We may update this policy as the platform evolves. Material changes will be communicated to registered users by email. The "Last updated" date at the top of this page reflects the most recent revision.
